Welcome, Community Partner! CFMT is proud to host local organizations making a difference. Please review our policies and guidelines to help ensure your event runs smoothly.
Space Use Restrictions
- Events with activities or content related to 501(c)(4) organizations, direct or grassroots lobbying, political campaigns, or electoral or partisan themes
- For-profit companies and organizations
- Commercial events with profit-making activities
- Fundraising
- Non-charitable or private events, such as weddings, birthday parties, or fashion shows.
Eligible Use
Events must align with the requesting organization’s mission and/or support community connection and education. Examples include staff trainings, community convenings, and board meetings.
Hours and Fees
- Meeting space is free for Middle TN non-profit, school, and government organizations during CFMT’s regular hours: Monday – Friday, 8:30AM – 4:30PM. Please Note: Availability on Fridays between Memorial Day and Labor Day is limited to 8:30am-12:00pm.
- Meeting spaces only include tables, chairs, and use of A/V equipment (please continue to read through the guidelines for more details).
- Eligible activities must further the requesting organization’s mission or support community connection and/or education. For example: staff trainings, convening community, board meetings.
- Events after or extending past 5:00pm or at any time on weekends incur a $50/hour fee.
- All after-hours events must end by 9pm, including setup and cleanup.
- Once your reservation has been confirmed, we do our best to keep your group in the assigned meeting space. On occasion, adjustments need to be made, but we will never move you to a room too small for your group.
Event Parking/Transportation
- To help preserve availability in our main lot for CFMT staff and their scheduled visitors, **guest parking for all non-CFMT-sponsored meetings and events is restricted to the designated areas listed below during business hours (Monday–Friday, 8:30AM–5:00PM):
- CFMT Lower Lot: accessible via Belmont Blvd. (look for the “Overflow Parking” sign and opened metal gates)
- YWCA Lower Parking Lot: accessible via Woodmont Blvd.
**Any guest with accessibility needs, including those who require a handicap-accessible space or have general mobility concerns, is absolutely welcome to park in the spots closer to our main entrance.
- For events with more than (30) attendees during business hours, carpooling, public transportation or ridesharing is strongly recommended.
- The building is accessible via the #17 WeGo Public Transit bus.
Catering/Food Delivery/Alcohol
CFMT does not provide catering services, tablecloths, dishes, or glassware.
- You are welcome to bring food, non-alcoholic beverages, and any cups or serving items you need.
- If alcohol is served, an ABC-licensed server is required, and a host liquor liability certificate naming The Community Foundation of Middle Tennessee as an additional insured must be provided in advance.
- No red wine, champagne, beer kegs, or self-service pours are allowed.
- If using a caterer, your organization must designate a contact person to coordinate communication and be onsite (including in the lobby at the time of delivery) to receive the order.
- You may select any caterer or food delivery service. Please include time for food set-up and clean-up in your reservation request.
- Ensure your caterer provides the necessary plates, cups, cutlery, etc. for your event.
- A small “Community Pantry” (shared with CFMT staff and other attendees) is available near the meeting rooms, it includes a refrigerator, an ice machine, a bar sink and one microwave but no oven or freezer.
- Caterers and/or vendors must remove all rental items (linens, dishes, etc.) at the conclusion of the event. CFMT cannot store items for later pick-up.
Set-Up & Post-Meeting Clean-Up
- You are responsible for arranging furniture in your desired set-up.
- Limited banquet tables are available.
- Water dispensers/pitchers are available with advance notice, when available. Please supply your own cups.
- CFMT will provide cleaning wipes and trash bags for after your meeting. We kindly request that you assist us in maintaining cleanliness by tidying up any food and drink remnants, wiping down the tables, and consolidating waste and/or recycling to the larger trash bins, if it’s overflowed.
- Recycling and trash dumpsters are located in the parking lot.
- We have very limited storage, please discuss storage needs with CFMT staff prior to having any materials or rentals delivered ahead of your event.
Meeting Room A/V Capabilities
- Zoom is the only video conferencing platform supported by our equipment.
- All assigned meeting rooms are equipped with a screen to display presentations or connect to a Zoom call.
- We do not have a projector or large projection screen available, but you are welcome to bring your own.
- An HDMI cord is provided to connect to the screen in your meeting room. If your presenter’s device does not have an HDMI port, please bring an adapter.
- The Frist Foundation Room is the only meeting space equipped with an amplification system, which includes two handheld microphones.
- The CFMT On-Site Contact will assist with initial A/V setup but are not available for ongoing technical support.
Miscellaneous Policies
- CFMT is a smoke-free campus; smoking is prohibited anywhere on the premises.
- The CFMT building is ADA-compliant. We will assist with parking and other accommodations as needed.
